Effective date: 3 November 2026.
Ottawa Cavaliers Chess Academy (OCCA), Ottawa, Ontario, Canada, provides academy information, participant accounts and tournament registration. Email chesscavaliers@gmail.com or use our contact page for questions.
Accounts and participant information
Provide accurate participant and eligibility information. Keep sign-in details private and manage only profiles you are authorized to use. Contact OCCA about errors or suspected unauthorized use. Do not access another person's private records or interfere with the website.
Our Privacy notice explains how personal information is handled.
Choosing and confirming an event
Review the event's eligibility, sections, rounds, schedule, venue, deadline, fee, currency and membership requirements. Times use the stated timezone. A CFC number does not establish paid membership. Ask OCCA about missing or unclear details before registering.
Your selection is checked again at confirmation. Confirming creates your registration and invoice. For paid events offered through the current checkout, a place is reserved while payment is outstanding. Follow the payment deadline and unpaid-entry policy disclosed for the event. A reservation does not remove eligibility, waiver or event participation requirements.
Your registration and invoice remain available in your account if confirmation email is delayed or unavailable.
Fees and e-transfer payments
Review the total. Use your invoice's receiving email/payee, send its exact outstanding amount in the stated currency, and put the complete invoice reference in the bank's e-transfer Message field. Keep your bank confirmation. Never include passwords, security codes or unrelated personal information.
Automatic confirmation matches supported completed-deposit notifications to invoices when enabled, normally checking approximately every five minutes. Bank delivery, interruptions or unmatched details may delay confirmation. Sending a transfer or supplying an invoice code alone does not establish receipt. Contact OCCA before sending an unmatched payment again.
The website does not initiate your bank transfer or an outgoing refund. Staff handle payment exceptions. Check your invoice's current balance and recorded receipt for payment status.
Withdrawals, changes and refunds
OCCA reviews all refund requests individually, including requests following a withdrawal, missed attendance, cancellation or schedule change. Refunds are not automatically guaranteed by submitting a request. If OCCA cancels, postpones or materially changes an event, OCCA will provide the updated information and explain the next steps. This policy does not remove any refund or cancellation right that the law protects.
Contact OCCA with the event and invoice reference when requesting a change, withdrawal or refund. Cancelling a registration and returning money are separate processes; cancellation does not itself initiate a bank refund. Any amount due or refundable must be determined under the policy disclosed for that registration and applicable law. These terms do not limit rights or remedies that the law protects.
Waivers, event rules and other providers
Each participant must meet the waiver requirement. The adult participant or authorized parent/legal guardian must personally review and sign the separate agreement. These terms do not supply that signature. Event information must include competition, conduct and venue rules.
Programs linked to external providers are administered by those providers. Check their current availability, fees and terms directly. Later website edits do not by themselves change an existing registration's agreed fee or remove applicable rights.
